Calibre AI Privacy Policy
About this policy
Calibre AI collects only the personal information it needs to answer your enquiry and run our services, and handles it in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
This policy covers calibreai.tech, its live chat demo, and our direct communications with you. In this policy, "Calibre AI", "we" and "us" means Calibre AI, a Gold Coast, Queensland business (ABN: 64 468 770 397).
What we collect
We collect information you give us through the chat or by email, plus basic technical data your browser sends automatically.
| Type | Examples | How we get it |
|---|---|---|
| Contact details | Name, email, phone, business name, job title | You enter them in the chat or contact us |
| Chat content | Your questions and messages, and the AI's replies | Recorded when you use the chat |
| Technical data | IP address, browser and device type, pages visited, time of visit | Sent by your browser; logged by our hosting provider |
| Business contact information | Publicly listed business email and phone numbers | Public business websites and directories, for B2B outreach |
Please don't share sensitive information (such as health, financial or identity documents) in the chat. You can use the site and chat without giving your name, but we can't follow up an enquiry without a way to contact you.
How we use it
We use your information to respond to you and to run and improve Calibre AI — never to sell it.
- Reply to your enquiry and arrange demos or quotes
- Provide, maintain and secure the website and chat
- Review chat transcripts to improve answer accuracy and the product
- Send occasional business emails about our services (see Marketing below)
- Meet our legal and record-keeping obligations
We do not sell, rent or trade your personal information.
AI processing and service providers
The chat is powered by an AI model run by a third-party provider, so your messages are sent to that provider to generate replies.
| Provider | What it does |
|---|---|
| Railway | Hosts the website, chat and logs |
| Anthropic / OpenAI / xAI | Generates chat replies from your messages |
Your messages are processed (interpreted) by AI providers on servers outside Australia, but your data is stored on servers in Australia. We choose providers with recognised security practices, and where available we use settings that stop your chat content being used to train their models. By using the chat, you consent to this overseas processing; we take reasonable steps to ensure those providers handle your information consistently with the Australian Privacy Principles.
AI replies are generated automatically and may be inaccurate. Confirm important product details with us or the supplier before relying on them.
Storage, security and retention
We keep personal information only as long as we need it, and protect it with reasonable technical and access controls.
- Messages are processed (interpreted) by AI providers on servers outside Australia, but data is stored on servers in Australia, behind access-controlled accounts with two-factor authentication
- Chat transcripts are kept for 12 months, then deleted or de-identified
- Contact details from enquiries are kept while we're in contact and for 2 years after, unless you ask us to delete them sooner
- Questions the assistant couldn't answer are kept and taken back to the client to clarify
- Records needed for tax or legal purposes are kept as long as the law requires
No system is completely secure. If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required.
